Refund & cancellation policy

1. Who this applies to

This policy governs subscriptions you (the “workspace owner”) pay directly to FlowBridge Systems (Pty) Ltd (“FlowBridge”, “we”) for use of Chalkline. It applies to the Core, Studio, and All-In plans, any add-ons, and any monthly or annual prepayments.

It does not cover payments made by your students to you. Those payments flow directly through your own Paystack or Stripe account and are governed by your tutoring terms with each student. FlowBridge does not hold student funds and cannot issue student-side refunds on your behalf.

2. Free trial

  • Every new workspace starts with a 7-day free trial.
  • No payment method is required to begin the trial.
  • You can cancel at any time during the trial from Settings → Billing, or by emailing billing@mychalkline.com. If you cancel before the trial ends, you are not charged.

3. Cancelling a paid subscription

  • You may cancel your subscription at any time from Settings → Billing, or by emailing billing@mychalkline.com.
  • Cancellation stops future renewals. Your workspace remains active for the remainder of the period you have already paid for.
  • When the paid period ends, the workspace moves to a read-only state. Your data is retained for 90 days, during which you can re-subscribe and restore access, or request a full data export.
  • After 90 days, the workspace and its data are permanently deleted unless you request an extension in writing to billing@mychalkline.com.

4. Refund eligibility

  • Monthly subscriptions. The current monthly charge is not refunded by default. If you have a specific concern — billing error, duplicate charge, or a material service outage that affected your use — email billing@mychalkline.com within 14 days of the charge and we will review it in good faith.
  • Annual subscriptions. If you cancel within the first 30 days of an annual subscription, you may request a full refund of the annual amount. After 30 days, annual prepayments are non-refundable, but cancellation still stops the next renewal.
  • Add-ons. Add-ons are billed on the same cadence as the parent subscription and follow the same refund rules above.
  • Fees and taxes. Approved refunds are issued net of any non-recoverable payment processing fees and applicable taxes.
  • Processing time. Approved refunds are issued to the original payment method, typically within 5–10 business days, depending on your bank or card issuer.

5. Disputes and chargebacks

  • If you believe a charge from FlowBridge is incorrect, please contact us first at billing@mychalkline.com. We aim to respond within 2 business days.
  • We treat every dispute as a chance to fix a real problem. Where the charge is in error, we refund it. Where it is correct but caused friction, we work with you on a fair outcome.
  • Initiating a chargeback through your bank or card issuer without first contacting us may result in the affected workspace being suspended while the dispute is investigated, in order to protect your students' data and the integrity of the service.

6. Student payments and tutor-issued refunds

When your students pay you through Chalkline, the money goes directly to your own Paystack or Stripe account — not to FlowBridge. Refunds to students are issued by you, from your own processor dashboard, according to your own tutoring terms. FlowBridge does not hold student funds and cannot issue student refunds on your behalf.

7. Changes to this policy

FlowBridge may update this policy from time to time. The “Last updated” date at the top of this page reflects the current version. Material changes will be communicated by email to the workspace owner at least 14 days before they take effect.
